Customer information stays customer information.

1. Who this policy covers

This Privacy Policy applies to Turnover LLC’s public website, account and trial setup, customer communications, billing administration, support, and information processed to provide Turnover programs. For Customer program data, the Customer generally determines why its users enter and use information; Turnover processes that information to provide the service under the applicable agreement. For Turnover’s own website, account, billing, security, and business administration, Turnover determines the relevant processing purposes.

2. Information Turnover may collect

Business and account information

• Name, work email, phone number, title, organization, company, location, and account identifiers.
• Program setup information, tentative or authorized user counts, work groups, program structure choices, support requests, and implementation context.
• Authentication, authorization, administrative role, and account-security information.

Customer program data

Authorized users may enter operational records, notes, technical history, work information, files, images, comments, schedules, assets or structure, forms, signatures, approvals, external-return submissions, TurnBase source packages, and other Customer-selected content. The types of data vary by Customer configuration and Customer use.

Billing and transaction information

Turnover may process subscription status, invoicing details, billing contacts, tax information, payment status, purchased programs, user counts, and add-ons. Payment providers may process card, bank, or other payment credentials directly. Turnover does not need to store complete payment-card credentials when those credentials are handled by the payment provider.

Website and connection information

Standard servers and security systems may process IP addresses, request headers, timestamps, error information, and technical connection data needed to deliver, protect, and troubleshoot the service. Optional first-party public-site analytics are described below and in the Cookie Policy.

3. Optional first-party website analytics

The public website keeps optional analytics off until a visitor selects “Allow Optional Analytics.” When enabled, Turnover’s own website backend may receive page views, section views, labeled link or button clicks, broad scroll-depth milestones, approximate engaged time, referring domain, UTM campaign values, broad device category, screen dimensions, and a browser-session identifier. The implementation is designed not to intentionally send typed form text, form contents, keystrokes, exact mouse movements, names, email addresses, phone numbers, or a raw IP address in the custom analytics event payload.

4. How Turnover uses information

• Provide, configure, maintain, secure, troubleshoot, and support Turnover.
• Authenticate users and enforce program and role authorization.
• Respond to inquiries, trial requests, support requests, and customer communications.
• Administer subscriptions, invoices, user counts, add-ons, and customer relationships.
• Understand public website demand and improve product usability, documentation, support, security, and reliability.
• Prevent abuse, investigate incidents, comply with law, and protect Turnover, customers, users, and third parties.
• Maintain business, tax, contractual, and dispute-resolution records as required.

5. Legal bases for EEA/UK processing

Where European Economic Area or United Kingdom data-protection law applies, Turnover may rely on performance of a contract or steps requested before a contract, legitimate interests in operating and securing a business service, compliance with legal obligations, and consent where consent is the appropriate basis. Optional public-site analytics are activated only after the visitor’s affirmative choice. A person may withdraw consent for future optional analytics through Cookie Settings.

6. Customer Data, confidentiality, and product improvement

Customer retains ownership of Customer Data as described in the Terms. Turnover may process Customer Data to provide, secure, maintain, support, and improve the service for that Customer. Turnover does not sell Customer Data and does not disclose identifiable Customer operational content to other customers except at Customer direction or where legally required.

Turnover may create aggregated or de-identified telemetry and statistics for service operations, security, reliability, product planning, and improvement where those outputs are not reasonably attributable to a Customer or individual. Turnover does not treat merely removing a company name as sufficient by itself when information could still reasonably identify its source.

7. Intelligent features, Leroy, TurnBase, and external AI workflows

Where enabled, Leroy and TurnBase-connected intelligence may process Customer Data that the signed-in user is authorized to access in order to retrieve relevant records, managed knowledge, equipment context, forms, source identity, and related evidence. Turnover's current product design keeps connected intelligence read-only unless an existing authorized Turnover workflow explicitly owns a commit. An AI response does not by itself approve, verify, delete, export, or rewrite authoritative Customer records.

Some Turnover workflows allow an authorized user or administrator to export a bounded schema or data package for use with an external AI service, then return proposed structured content to Turnover for review. Examples include AI-assisted form-template formatting and selected data-import workflows. The external service does not receive direct authority to write live Turnover Program records through those bounded workflows. Customer decides whether to send exported information to an external service and is responsible for reviewing that provider's terms, confidentiality, and data-handling practices.

Turnover may use service providers, including configured model-processing providers, to provide specific features. Provider use is limited to permitted service purposes appropriate to the feature. Turnover does not make identifiable Customer operational content available as a cross-customer knowledge pool by default. Turnover Shared Knowledge remains a separate opt-in concept described below.

8. Turnover Shared Knowledge

Turnover Shared Knowledge may be offered as a separate paid add-on. Access to the add-on and contribution to the knowledge pool are separate choices. Contribution is off by default and requires affirmative opt-in by an authorized Customer administrator. Future add-on terms and controls will describe what content may be eligible, how source-identifying and proprietary context is reduced or excluded, and how contribution can be turned off. Purchasing the add-on alone does not authorize Turnover to mine Customer confidential technical content for other customers.

9. How information may be disclosed

Turnover may disclose information to service providers that help provide hosting, cloud infrastructure, authentication, databases, storage, email, communications, security, payment processing, tax support, customer support, configured AI/model processing, and professional services; to a Customer that controls its program; at the direction or consent of the Customer or individual; in connection with a corporate transaction subject to appropriate protections; or where reasonably necessary to comply with law, enforce agreements, protect rights, prevent abuse, or respond to security concerns. Service providers receive information only for permitted business purposes appropriate to their role.

10. International data transfers

Turnover is based in the United States and may use providers that process information in the United States or other countries. Where applicable law requires transfer safeguards, Turnover will use appropriate contractual or legal mechanisms for the relevant processing. International customers may require additional data-processing terms depending on location and use.

11. Retention

Turnover keeps personal and business information only as reasonably necessary for the purpose collected, the Customer relationship, security, legal compliance, tax and accounting records, dispute resolution, and contractual obligations. Unless a different written agreement applies, Customer Data is generally available for retrieval for 30 days after termination or expiration, after which it may be deleted from active systems. Residual protected backups may persist for up to 90 days and may remain longer where legally required or needed for security or dispute preservation. Public website analytics and contact records may be retained for reasonable business and security periods.

12. Privacy choices and rights

• Select “Essential Only” to keep optional public-site analytics off.
• Use Cookie Settings to change the stored public-site analytics choice.
• Contact Turnover to request access, correction, deletion, restriction, portability, or objection where those rights apply.
• Customer program-data requests should generally be handled through the Customer’s authorized administrator because the Customer controls that program.
• Turnover may need to verify identity or authority before fulfilling a request and may retain information where law or a valid business obligation permits or requires it.

13. U.S. state privacy disclosures

Turnover does not sell personal information and does not use the public website for third-party cross-context behavioral advertising. If an applicable U.S. state privacy law provides additional rights, eligible individuals may submit a request using the contact information below. Turnover will not discriminate against a person for exercising an applicable privacy right.

14. Children

Turnover is business software and is not directed to children. Turnover does not knowingly offer the service for children’s personal use.

15. Security

Turnover uses administrative, technical, and organizational measures appropriate to the configured service. No internet-connected service can guarantee absolute security. See Security & IT for the current high-level architecture and access model.

16. Material changes

Turnover may update this policy prospectively. If Turnover later proposes a materially more permissive use of existing Customer confidential data, including a new cross-customer use that requires consent, Turnover will use an appropriate affirmative authorization process rather than relying only on a silent privacy-policy change.
